An annoying messages can come up on your backup software, like Veritas, when you delete a user (and their associated mailbox).

The problem occurs because Exchange does not remove the user's mailbox right away after you delete the user. The backup software cannot backup the mailbox without the user. The amount of time (could be 30 days!) is set in MS Exchange System Manager (ESM).

You can adjust this time by changing properties in \servers\server\first storage group\mailbox store. Usually though, this still won't purge in time to avoid an error and "failed backup" message on the backup software.

To kill everything right away by hand:

  • Delete the user in active directory.
  • Start ESM and navigate to \servers\server\first storage group\mailbox store\mailboxes.
  • Right click on Mailboxes.
  • Click "Run cleanup agent". This will mark the mailboxes for deletion.
  • Now look at the mailboxes list. You'll see your deleted user marked with a red circle with an X in it.
  • Right click on the mailbox. Click Purge.
  • Respond Yes to remove the mailbox.

You should now be able to run the backup without an error!
